Job Description:
KEY RESPONSIBILITIES
PROGRAMME PLANNING
In liaison with the Classes & Courses Programme Manager:
- Support strategy development of our Adult Classes Programme.
- Maintain a strong understanding of the financial position of the programme, working in line with clear financial targets.
- Act as main point of contact for all Adult Programme artists, musicians, and Front of House staff, including finding cover for staff when required, facilitating termly meetings and providing support.
- Manage and coordinate the Professional Class Programme, being the main point of contact for all artists.
- Coordinate recruitment, training, and development of hourly-paid staff working on the Adult Programme.
- Work alongside the Communications Team to create a marketing strategy for Adult Classes and Holiday Intensives, and other marketing responsibilities including updating relevant website pages, collating and generating copy for print and the website, and building the programme on the booking system.
- Managing ad hoc projects and performance opportunities on demand.
PROGRAMME DELIVERY
- With the Classes & Courses Assistant Manager (Children & Youth Programme) and Trainee, act as the main point of contact for bookings and respond to general enquiries about the overall Classes & Courses Programme.
- Oversee the running of Professional Class and adult classes on mornings and weeknights, being the main point of contact for staff in liaison with other colleagues across The Place teams, and coordinate performance events where applicable.
- Always ensure the highest possible standard of customer service.
- Where necessary, be active in the delivery of digital dance opportunities, such as acting as an online host to support any technical, safeguarding, or health and safety issues.
- Produce accurate class registers and monitor attendances to the Adult Programme.
- Highlight any attendance issues/refund requests with manager and follow up if necessary.
- Signpost participants to relevant opportunities within The Place and occasionally beyond, keeping key stakeholders updated through regular newsletters.
- Process participant bookings, taking cash and card payments. - Handle petty cash expenses and credit card payments.
- Monitor participant fees to ensure all attendees have paid and records are accurate.
- Accurately record hourly-paid staff hours to ensure correct monthly payroll.
- In liaison with the Classes & Courses Programme Manager, support all financial processes and procedures including updating specific programme budgets, processing invoices and checking transactions.
- Coordinate all ad hoc project or performance activities including supporting participants, stage managing activity and liaising with other teams in the organisations, and work with the Production Manager to complete risk assessments when necessary.
- Ensure adherence of health and safety legislation, including the completion of accident book records, following of the correct reporting procedure for accidents and incidents, and ensure that any other health and safety requirements are carried out in line with The Place’s policies.
PROGRAMME SAFEGUARDING
- Undertake Safeguarding Training as a Deputy Safeguarding Officer and support on Safeguarding for the Classes & Courses department for the Adult Programme including supervising onsite activity.
- Support staff in any Safeguarding matters that arise, where necessary seeking advice from and passing on information to the Senior Safeguarding Officer. Attend and contribute to The Place’s Safeguarding Committee.
- Work with HR to organise DBS certificates for new staff and renew expired certificates for current staff.
- Ensure the adherence to safeguarding legislation for all Adult Programme activity, including the correct reporting of incidents and disclosures in accordance with The Place’s policies.
PROGRAMME EVALUATION
In liaison with the Classes & Courses Programme Manager:
- Plan and implement beneficial evaluation methods to collect evaluative data from a range of stakeholders.
- Undertake appropriate equal opportunities monitoring of the Adult Programme.
- Collect and collate evaluation data for analysis.
- Use evaluation results to inform the planning and delivery of future projects.
- Assist the Programme Manager with regular financial evaluation of the Classes & Courses Programme for reporting at Directors meetings and board meetings
- Any other responsibilities that the Classes & Courses Programme Manager or Executive Producer may reasonably require.
